Does QuickBooks Have Production Scheduling? QuickBooks Online vs SkyPlanner APS
No. QuickBooks Online is accounting software. It tracks customers, products, estimates, invoices, purchase orders, stock and time, and it does this well. It has no machines, no routings and no production orders, so it cannot tell you what runs where, or when. Manufacturers that need that plan run SkyPlanner APS beside QuickBooks.
Intuit’s top tier, Intuit Enterprise Suite, adds manufacturing orders. They cost a build and reserve components against two dates. They do not schedule work against the capacity of a machine or a person. The sections below show each step.
How QuickBooks handles production, step by step
1. Products and services
Every product you make or buy is an item in the products and services list. The Accounting API names the types Inventory, NonInventory, Service and Group. An Inventory item tracks quantity on hand. A Group item is “used as a container for a bundle of items with a count for each item.” (source)
A bundle groups items on a sales form. It holds no process steps, no machine and no time.
2. Estimates and invoices as the order book
Most shops on QuickBooks Online run their order book as estimates. A customer accepts an estimate, the shop makes the goods, and the estimate becomes an invoice. Each estimate carries lines, a status and a ship date. On Plus and Advanced, an estimate can also be converted to a sales order, which reserves items before you invoice. Either way, the list of accepted orders is the production queue, and nothing in it says which machine runs what, or when.
3. Purchase orders and stock
On Plus and Advanced, QuickBooks Online tracks inventory and purchase orders, per Intuit’s pricing page. A purchase order records what you ordered from a vendor. Receiving it on a bill raises quantity on hand. Selling or adjusting lowers it.
4. Time tracking
Employees log hours as time activities against a customer and a service item. Billable hours can be added to an invoice. This records time after the work is done. It does not plan it.
5. Manufacturing orders in Intuit Enterprise Suite
Intuit says “Manufacturing features are currently available in Intuit Enterprise Suite.” (source) A manufacturing order works like this:
- You choose an inventory assembly item and a quantity to build.
- You “select a production Start date and Required by date.”
- Components come from the bill of materials, and you can change them per order.
- Status Planned reserves the components. In Progress follows. Mark as complete opens a build form for final quantities and costs.
- Services and non-inventory components are costed “based on actual rates entered on the build assembly page.”
Two rules frame it. “You cannot start a manufacturing order without a bill of materials.” And “Multi level bill of materials with sub assemblies aren’t supported in Intuit Enterprise Suite.” (source)
6. Assemblies in QuickBooks Desktop
Intuit’s long-standing help on building finished goods from components is a Desktop feature: “You can do this in QuickBooks Desktop Premier, Enterprise, or Accountant.” (source) Desktop assemblies build stock. They do not schedule it either.
What stays with the planner
- No machines or work centers. QuickBooks has no object for a lathe, a press or a paint line, so it cannot show how loaded one is.
- No routings. The steps a product goes through, and how long each takes, live in a spreadsheet or in someone’s head.
- No capacity. An Intuit Enterprise Suite manufacturing order has a start date and a required-by date. Nothing checks whether the machines and people are free between them.
- No sequence. Which order runs first on which machine is decided on a whiteboard.
- No changeovers. Setup time that depends on the previous job is not modeled.
- No shifts. Working hours, leave and overtime per person or machine are payroll and time data, not planning data.
- Dates by experience. The ship date on an estimate is the date someone typed.
In practice: the owner or a lead hand keeps the plan on a whiteboard or in Excel, checks it against QuickBooks stock by hand, and calls the customer when a date slips.
When QuickBooks is enough
QuickBooks Online alone does the job when:
- You run one or two machines and a few people, and the queue fits on one whiteboard.
- Most jobs take hours, not days, and rarely wait for each other.
- One person decides the order of work and knows the shop well.
- Your real constraint is cash or stock, not machine time.
If that is your shop, keep your items and estimates clean in QuickBooks and plan by hand.
When you need a finite capacity scheduler
You have outgrown the whiteboard when several of these are true:
- Several machines carry different loads, and one is booked for weeks while another waits.
- Shifts, overtime, holidays or absences differ by machine or team.
- Changeover time depends on which product ran before.
- One order passes through several machines, and the slowest step sets the ship date.
- Rush orders and breakdowns force you to rebuild the plan by hand.
- You quote ship dates before you know if the capacity is there.
What to look for
- Per-resource capacity with shifts, leave, absences and overtime.
- Process steps per product held in the scheduler, since QuickBooks has none.
- Whole-schedule sequencing of every open order by priority and due date.
- A setting time matrix with sequence-dependent, asymmetric changeover times.
- Tools as finite shared resources and multi-operator jobs.
- Material-aware scheduling that covers stock and open purchase orders.
- Automatic rescheduling when production progresses or orders change.
- A concrete write-back to QuickBooks. The Accounting API can update an estimate’s ship date, create an invoice linked to the estimate, post time activities and, on US Plus and Advanced, record an inventory adjustment. Ask every vendor which of these their schedule writes.
The options fall into three groups:
- QuickBooks alone or with Intuit Enterprise Suite manufacturing orders keeps everything in QuickBooks and plans by hand.
- Inventory and MRP systems that sync with QuickBooks, such as Katana, MRPeasy, Fishbowl Manufacturing or Autodesk Fusion Operations, move stock, bills of materials and manufacturing orders into a second system that posts to QuickBooks.
- A cloud APS beside QuickBooks, where SkyPlanner sits, schedules every resource from your QuickBooks orders and writes finished work back.
Where SkyPlanner fits
SkyPlanner APS fills each gap above. You define workstations, people, shifts and each product’s process steps in SkyPlanner once. Every workstation and person gets its own shifts, leave, absences and overtime shifts. The Arcturus engine places each job on a real time slot on the Gantt timeline, in seconds, by job priority, completion date, customer priority, Fast Track and Dynamic Priorities.
The setting time matrix holds the changeover time between each pair of products in both directions, and the engine picks the order with the least setup. Tools are finite shared resources, and a job can need several operators at once. When a workstation or person is unavailable, the engine uses the alternatives you define.
Material-driven scheduling simulates future inventory from stock and incoming purchase orders. Work is planned only when material is there. Autopilot reschedules automatically when production changes, and Running Time Lock keeps started jobs in place. Operators log work with Mobile Confirmations, Production Timer and Quick Log Mode.
Choose SkyPlanner when you want to keep QuickBooks as your system and add a real production plan beside it.
Choose SkyPlanner when several machines, shared tools or crews decide what can run next.
Choose SkyPlanner when finished work should reach QuickBooks as an invoice and hours without retyping.
Start with an Excel or CSV import in the 30-day free trial (up to 20 workstations, no credit card). After that, pricing is from 199 € per month with 5 workstations included, billed monthly. The integration is quoted up front for your process and needs, together with your plan.
SkyPlanner integrates with QuickBooks Online in both directions through Intuit’s Accounting API. Customers, items, accepted estimates, purchase orders and employees flow in. The planned ship date, invoices for finished orders, time activities and inventory adjustments go back. The SkyPlanner team configures the integration during onboarding, or your QuickBooks partner or developers build it on SkyPlanner’s documented REST API (API reference).

FAQ
Can QuickBooks Online schedule production?
No. QuickBooks Online holds no machines, routings or production orders. It records estimates, invoices, stock and time. A scheduler such as SkyPlanner APS plans the work beside it.
Does Intuit Enterprise Suite have production scheduling?
It has manufacturing orders with a bill of materials, a start date and a required-by date. They reserve components and cost the build. They do not plan operations against machine or labor capacity.
Is QuickBooks an ERP?
No. QuickBooks Online is accounting software for small and growing businesses. Manufacturers on QuickBooks add an inventory system, an MRP or a scheduler such as SkyPlanner APS for production.
Do we need an MRP before we can use SkyPlanner with QuickBooks?
No. SkyPlanner holds your workstations, process steps and shifts and reads orders, items and purchase orders straight from QuickBooks Online. If you already run an MRP such as Katana or MRPeasy, SkyPlanner schedules from it instead.
What does SkyPlanner send back to QuickBooks?
The planned ship date on each estimate, an invoice linked to the estimate when the order is finished, the logged hours as time activities and the stock change as an inventory adjustment.
