monday.com Integration Guide for Production Scheduling with SkyPlanner APS

This monday.com integration guide shows partners and IT teams how to connect monday.com boards to SkyPlanner APS. SkyPlanner integrates with monday.com in both directions:

  • Order items with product, quantity, due date, priority and status flow in.
  • Planned start and finish are written to a Timeline column, with the workstation in its own column.
  • Operator progress from the shop floor updates the Status column.
  • SkyPlanner webhooks push schedule changes as they happen.

The SkyPlanner team configures the integration to your boards during onboarding and supports it after go-live. This guide is for partners and developers who want to take part, or to build on SkyPlanner’s documented REST API (API reference) themselves.

The monday.com platform API

monday.com exposes one GraphQL API at POST https://api.monday.com/v2. It is versioned quarterly, and you pin a version with the API-Version header. Deprecations are announced at least six months ahead. (API versioning)

The objects a scheduling integration uses:

  • Boards and groups, often used for stages or weeks.
  • Items and subitems. An item is usually an order or job, and subitems hold operations.
  • Column values: Status, Date, Timeline, Numbers, People, Dependency, Time Tracking, Connect Boards and Mirror.
  • Webhooks for change events.

Reads use items_page nested in a board or group. The default page is 25 items and “the maximum is 500.” You continue with next_items_page, and “each cursor will expire 60 minutes after the first request.” Filter with query_params to read only open orders. (items_page)

Writes use create_item, create_subitem, change_column_value and change_multiple_column_values. The last one updates several columns of one item in a single call, which is what schedule write-back needs.

For large loads, API version 2026-07 and later adds ingest_items and backfill_items. You upload a CSV to a pre-signed URL and poll the job status. (bulk import)

Authentication

monday.com supports three token types:

  • Personal API token. “Each token is unique to a user” and carries that user’s permissions. Good for a proof of concept.
  • App token with permission scopes, for an integration app.
  • OAuth through auth.monday.com/oauth2/authorize and /oauth2/token, with scopes such as boards:read, boards:write, webhooks:read and webhooks:write.

Use an app or OAuth token in production. A personal token stops working when its owner regenerates it. (authentication)

On the SkyPlanner side, the REST API authenticates with an API token (SkyPlanner Settings > API) and is documented in Swagger/OpenAPI. An API token is enough to start, and the integration tutorial walks through the first calls.

Webhooks and reconciliation

Create a subscription with create_webhook(board_id, url, event, config). The events a scheduling integration needs:

  • create_item and create_subitem for new orders and operations.
  • change_column_value or change_specific_column_value for due date, quantity or priority changes.
  • change_status_column_value for status changes made by people.
  • item_archived, item_deleted and item_moved_to_specific_group for cancelled or completed orders.

The receiving URL must answer a challenge token when the webhook is created. Failed deliveries “retry once a minute for 30 minutes,” then stop. So the integration also runs a periodic reconciliation read with items_page and a filter on recently updated items. (webhooks)

In the other direction, SkyPlanner sends webhooks when state or the schedule changes. The integration service receives them and writes the new dates to monday.com, so write-back is event-driven.

Data mapping

monday.com has no standard order object, so the column IDs are mapped per account. This is the typical setup:

monday.com objectSkyPlanner objectDirectionFrequency
Item on the production board: Name, Numbers (quantity), Date (due date), Status or Dropdown (priority)Order with product, quantity, due date and prioritymonday.com → SkyPlannerWebhook on create and change, plus reconciliation

Items on a stock or materials board, if kept in monday.comMaterials and stock balancesmonday.com → SkyPlannerScheduled read
Items on a purchase order board with expected delivery dateIncoming material, available on the delivery datemonday.com → SkyPlannerWebhook or scheduled read

Timeline columnPlanned start and finishSkyPlanner → monday.comOn schedule change, via SkyPlanner webhook
Status, Dropdown or Text columnAssigned workstationSkyPlanner → monday.comOn schedule change
Status column (for example In production, Done)Job progress from Mobile ConfirmationsSkyPlanner → monday.comPer confirmation

Integration patterns

1. Initial master data load. Read products, materials and open orders with items_page. Create workstations, shifts and constraints in SkyPlanner, or import them from Excel. Decide early whether operations live as subitems or on a linked board.

2. Order sync. Webhooks on the production board send new and changed items to SkyPlanner as orders. If you track purchase orders on a board, SkyPlanner treats ordered material as available on the delivery date and updates stock when the PO is marked Delivered.

3. Schedule write-back. For every order the engine placed or moved, the integration calls change_multiple_column_values. It sets the Timeline column to the planned start and finish and fills the workstation column. One call per item keeps the request count low.

4. Shop-floor progress. Operators log work with Mobile Confirmations, the Production Timer or Quick Log Mode. The timelogs keep the schedule current, and the matching Status label goes back to the board, so sales sees progress without asking.

5. Ownership and conflict rules. Write them down before go-live:

DataOwner
Order, customer, quantity, due date, prioritymonday.com
Operation sequence, start and finish, workstationSkyPlanner
Shifts, setups, tools, alternative machinesSkyPlanner
Status labels for progressSkyPlanner writes, monday.com displays

The main conflict source is people editing the Timeline column by hand. Agree that only SkyPlanner writes that column, or treat a manual edit as a request and let SkyPlanner reschedule. Autopilot reschedules automatically when production changes.

Typical project steps

Implementation is normally completed within weeks after onboarding starts. Before that, the 30-day free trial runs on your own data: export the production board to Excel and import it into SkyPlanner.

  1. Board review. Map boards, groups, column IDs and status labels, and check the monday.com plan.
  2. Mapping and ownership. Fix the mapping table, ownership rules and sync frequencies.
  3. Constraint setup in SkyPlanner. Workstations, shifts, setting time matrix, tools and alternative machines.
  4. Order sync. Webhooks, reconciliation read and token handling.
  5. Write-back. Timeline, workstation and status columns.
  6. Parallel testing. Run SkyPlanner beside the current board, compare dates and fix data.
  7. Go-live. Switch on write-back once the dates match.

What to plan for in a monday.com integration

  • Every account models orders differently. One board per customer, operations as items or subitems, machines as People or Status columns. Map column IDs per account, never by column title.
  • Plan limits. Free, Basic and Standard allow 1,000 API calls per day, Pro 10,000 and Enterprise 25,000. Use webhooks for changes and batch write-back with change_multiple_column_values. (rate limits)
  • Connected boards are capped. Basic allows one board connection and Standard five, which limits linked operation or product boards. (Connect Boards limits)
  • Pin the API version. Versions move quarterly. Multi-level boards were excluded from the default boards query before version 2026-04.
  • Cursor expiry. An items_page cursor lasts 60 minutes. Long reconciliation runs must restart cleanly.
  • Webhook limits. The URL may be at most 255 characters, and retries stop after 30 minutes. The receiver must be idempotent.
  • Units and durations. Numbers columns carry no unit. Agree whether a duration is minutes or hours before the first import.

The monday.com integration: who configures and supports it

The work covers mapping your boards and columns, plus the constraints monday.com does not hold: workstations, shifts, setting time matrix, tools and alternative machines.

  1. The SkyPlanner team configures it during onboarding and supports it after go-live. Every company builds its boards differently, and this is where that know-how goes.
  2. Your monday.com partner can take part. The partner knows your boards and automations and can review the column mapping and token setup.
  3. Your own developers can build on it against SkyPlanner’s documented REST API with an API token. An API token is enough to start, and the SkyPlanner team assists when needed. Public product documentation is at SkyPlanner docs.

SkyPlanner starts from 199 € per month with 5 workstations included, billed monthly. The integration is quoted up front for your process and needs, together with your plan, so you see the full cost before you start. FAQ

Which monday.com API does the integration use?

The monday.com platform API, a GraphQL API at api.monday.com/v2 with a pinned API-Version header. Reads use items_page, writes use change_multiple_column_values, and webhooks report changes.

What do we set up in monday.com?

Access and two columns. Your monday.com admin authorizes a scoped OAuth or app token once, and the board gets a Timeline column and a workstation column for write-back. Your boards and automations stay as they are.

Which monday.com plan do we need?

Daily API call limits grow with the plan: 1,000 on Standard and below, 10,000 on Pro and 25,000 on Enterprise. Pro or Enterprise suits a two-way sync with frequent changes. The SkyPlanner team checks your plan and volumes in the board review.

Can monday.com push changes in real time?

Yes. Webhooks fire on item creation, column changes and status changes. A periodic reconciliation read covers deliveries that fail after monday.com’s 30-minute retry window.

How are planned dates written back to monday.com?

With change_multiple_column_values on each item. The Timeline column gets the planned start and finish, and the workstation and status columns are updated in the same call.

Can we test SkyPlanner before building the integration?

Yes. The 30-day free trial supports up to 20 workstations with an Excel export of your board, no credit card needed. Start the trial, or talk to sales to scope the integration.
